VECO organization recruit Event Officer in Hanoi

JOB DESCRIPTION

VECO Vietnam is looking for an Event Officer to coordinate the smooth operation of two cycling races in Vietnam.

 

I. Background

VECO Vietnam is the Vietnamese country office of the Belgian-based International non-governmental organisation Vredeseilanden. VECO Vietnam’s main focus lies in sustainable agriculture and food safety.

 

In 2017, VECO Vietnam will host two major fundraising and awareness-raising events targeting the Belgian public. Developed by VECO Belgium in partnership with VECO Vietnam, the events will take the form of two bicycle races named “Vredeseilanden Classics”. These sportive events will take place in April and October 2017. After raising funds at home to support VECO’s international projects, two groups of about 30 persons will fly to Vietnam for an unforgettable bike journey through the regions where VECO operates. They will visit VECO’s project sites, touristic areas and, most importantly, enjoy the culture, nature and people of Vietnam before returning as VECO ambassadors in Belgium. The sites and itineraries have already been pre-identified during a two-week prospection mission carried out in 2016.

 

In order to finalise the preparations of the events and to ensure the smooth operation of the “Classics”, VECO Vietnam is looking for a qualified professional (Vietnamese) for the position of Event Officer. The Event officer will be based in Hanoi, at VECO Vietnam’s national office. The position will require extensive travelling in the North of Vietnam before and during the Classics.

 

II. Position Summary

Following up on VECO’s 2016 identification mission, the Event Officer will ensure the thorough preparation, follow-up and implementation of the activities related to the Vietnam Bike Classics.

The Event Officer will work in close collaboration and coordination with Classics Coordinators in Belgium and VECO Vietnam’s Project Manager.

 

III. Duration

The position is to be filled for 5 months full-time divided into two periods:

-   1 March - 15 May 2017

-   1 September - 31 October 2017

 

IV. Responsibilities

  • VECO Vietnam contact person for the event team at VECO Belgium
  • Planning & management of the practical arrangements & logistics for the event:
  • Accommodation: arranging bookings and payments
  • Meals, dinners, drinks,…
  • Social activities during the Classics
  • Local transport (bus, truck, jeep,…)
  • Follow-up of the budget, administration of the expenses and making up the intercompany (with the support of the financial desk of VECO Vietnam)
  • Security on site
  • Obtaining governmental permissions for both Vredeseilanden Classics events.

V. Job Requirements

1. Qualifications and technical knowledge

  • Bachelor or Master (or equivalent experience)  in communication, logistics, event management or any other relevant field

2. Languages

  • Excellent Vietnamese knowledge, both spoken and written (native language)
  • Very good working knowledge of English, both spoken and written
  • Knowledge of local ethnic languages of the regions that will be visited is an advantage but not required

3. Experience

  • Experience in successfully organising and implementing events
  • Experience in working at or with international development organisations
  • Experience in working with Vietnamese government administration
  • Experience with mountain-biking in North Vietnam is an advantage

4. Skills and knowledge

  • Event management
  • Creative and innovative with the ability to optimize use of available resources
  • People-oriented person with excellent communication,  interpersonal, and negotiation skills especially in multi-cultural settings
  • Keen and proactive ability in building relationships with different actors
  • Well organized, efficient, cost-effective and able to manage his/her own time and workload
  • Able to create enthusiasm and a strong team spirit within the VECO organization for these events
