Job Description (Roles and Responsibilities)
The main purpose of job:
To act as the coordinator for the Vietnam Consular Network ensuring a genuine one-Network approach to Consular work. To support Vice Consuls in Hanoi and HCMC to provide a full range of consular services and assistance to British Nationals in Vietnam and to provide resilience when required.
What will the jobholder be expected to achieve?
1. Network Support
- To ensure a consistent one-Network operation, through management of network calendars, consular returns and meetings.
- Managing the Vietnam Enquiries Mailbox and responding to email inquiries on a wide range of issues.
- Ensuring consular information appearing on HMG websites is current and up to date and guiding customers to official sources of information.
- To undertake project work on areas of the new consular strategy identified by the team;
- To maintain a network wide consular database and help plan outreach events for the Network.
2. Notarial and Assistance Support
Provide Notarial and Assistance support to HCMC team and where appropriate, Hanoi team – particularly during periods of lower staffing, including:
- Check, receive and process notarial/legalisation and documentary documents for fee bearing services, ensuring they are conducted in line with policy, and appropriate fees are taken and record services on Casebook once completed the transactions;
- Handle the full range of assistance cases e.g. passport lost/stolen, hospitalisation, accident, death, arrest, victim of crime etc. and
- Process Emergency Travel Documents (ETDs) when appropriate
3. Contingency Planning
- Coordinate with team to lead/update on consular elements of crisis planning/CMP updates and crisis equipment are tested regularly;
- To provide relevant crisis support to VCs or wider mission
- To act as the Crisis Hub lead for the network and to ensure regular training is carried out by the wider Embassy/Consulate teams.\
Essential qualifications and experience
- Fluency in written and spoken English
- Flexible, resilient, patient and able to deal with difficult situations, including working unsocial hours in an emergency or crisis;
- Ability to travel within Vietnam;
-Excellent interpersonal skills, ability to work collaboratively with colleagues in Vietnam, in the region and the UK as well as the public;
- Strong IT skills (Outlook, PowerPoint, Word and Excel);
- Ability to work at pace and prioritise and manage an often heavy workload.
Desirable qualifications and experience
- Previous experience in a customer facing role and an ability to respond to a wide range of customer needs;
- Ability to work in an international environment
